Policies
 
1. HOW DO I RESERVE A PARTY DATE?
  Parties are booked on a first come, first serve basis. When a party date and time has been selected, a deposit will be necessary to secure your reservation. The deposit is non-refundable and must be received within 7 days of booking your party date and time. The balance will be due on the day of your party. Invitations will not be mailed until the deposit is received.

**We suggest booking parties at least 4-6 weeks in advance.
 
2. WHAT FORMS OF PAYMENT DO YOU ACCEPT?
  At this time, we accept checks, cash and money orders.
A $75 payment reserves your date. Balance due on party day.There will a $29 returned check fee on all returned items.
 
3. WHERE ARE THE PARTIES HELD?
  Our parties come to you.
 
4. WHAT TIME CAN I HAVE MY PARTY?
  We will work to accommodate your schedule.
 
5. WHAT AGES ARE YOUR PARTIES FOR?
  Our parties are for children ages 3 and up. For safety reasons, children under 3 will not be permitted the use Sugar and Spice Occasions ltd equipment unless closely supervised by an adult. Many of our props and accessories are not suitable for children under 3.
 
6. HOW LONG ARE THE PARTIES?
  The length of your party depends on the party package you choose and the age of the children. We are always happy to offer suggestions. We are responsible for the time stated in our package. However, the invitation can state whatever times you would like.

FOR EXAMPLE: You book the Let’s Go to the Hop Party which is 2 hours long. You may want the invitations to state 21/2 hours for the birthday child to have time to open presents or have free play time with your guests.
 
7. WHAT HAPPENS IF I HAVE TO CANCEL MY PARTY?
  Once a deposit has been paid, parties may only be postponed. We will gladly work with you to find an alternate party date for your consideration, based on availability. If you choose to cancel our services for ANY reason, your deposit is non-refundable.

**Should it be necessary to re-send invitations, there will be an additional charge.
 
8. WHAT HAPPENS IF THERE IS INCLEMENT WEATHER OR THERE IS AN ILLNESS?
  In the case of severe weather Sugar and Spice Occasions ltd reserves the right to RESCHEDULE your party. If YOU choose to cancel your party and/or the services of Sugar and Spice Occasions ltd at that time, please remember, your deposit is non-refundable. If the guest of honor becomes ill, we will gladly work with you to choose an alternate date for your party, based on availability.

9. DO YOU HAVE A MINIMUM / MAXIMUM ATTENDANCE?
  Parties may be scheduled for up to 8 or more children. There is no minimum attendance. The party package is designed for 8 children. Less than 8 may attend, but you are still charged the package price. Maximum attendance for most parties is 12 children including the guest of honor. We will work with you to accommodate more than 12 children.
 
10. ARE INVITATIONS INCLUDED?
  Custom invitations are included depending on the party package you have chosen. They are personalized and theme coordinated. You supply us with the guest list, and we send out the invitations. Invitations CANNOT be printed until your deposit has been received. Thank-you notes are included only with the Spice It UP! Package.
 
11. WHAT SHOULD THE CHILDREN WEAR?
  All costumes are designed to be worn over the child’s own clothes. The children DO NOT get undressed. We do suggest that the girls wear a leotard, or bathing suit for best fit under the costumes. Boys may come as they like.
 
12. WILL THERE BE MAKE-UP?
  All children will be given the opportunity to be treated to a full make-up session. See Themes. Please make sure that parents are aware of this fact.
 
13. WHEN DO YOU NEED THE FINAL R.S.V.P. COUNT?
  You will need to contact me at least 4 days prior to your party to review the R.S.V.P.’s that you have received, and to determine the exact headcount for your event. This will be the number we use to plan appropriate quantities of food, favors, and the advance cost of preparing for your party. Thus, you will be charged accordingly.
 
14. IF A CHILD DOES NOT SHOW UP, DO I STILL PAY FOR THAT CHILD?
  Please remember, you will be charged for the final headcount you gave 4 days prior to the party, regardless of a child not showing.
 
15. WHAT HAPPENS IF A GUEST HAS FOOD ALLERGIES?
  It will be your responsibility to check for food allergies. Should any of your guests have food allergies, we will try our best to be accommodating. If a guest should have severe allergies, we recommend that either you or the child’s parent provide an alternate menu for that child.
 
16. DO ADULTS STAY DURING THE PARTY?
  Parents and other adults are always welcome to stay and enjoy the fantasy. Because we strive to make the birthday child and their guests the center of attention, we kindly request your assistance in keeping the noise level down so the children are not distracted, and are able to hear the Party Hostess to follow directions.
 
17. CAN SIBLINGS OF THE GUESTS STAY?
  As long as they are supervised. We provide many accessories that contain small parts at many of our parties and they may not be appropriate for very small children. Please remember that our party packages, including the PartyHostess, cover ONLY the birthday child and their guests. This includes seating at the tea table and favors. Please count siblings as guests if you would like them to fully participate in the party. Unfortunately, we will NOT be able to accommodate unexpected guests or siblings of guests, as we prepare our parties based on the final headcount given to us prior to the party. Siblings, who are not guests of the birthday child, will not be permitted to use any equipment brought by Sugar and Spice Occasions ltd.
 
18. WHAT HAPPENS IF GUESTS ARRIVE LATE?
  Because our parties are based on a schedule, they work best when all guests arrive on time. Those guests coming late may join the party at whatever point it has progressed to.

FOR EXAMPLE: The group has already completed the make-up session and has moved on to the pictures, the late guest must skip the make-up and join in the pictures. This is necessary in order to provide the least amount of disruption to the party, and your understanding is appreciated.
 
19. WHO TAKES CARE OF A GUEST IF THEY BECOME ILL, ARE A BEHAVIOR PROBLEM, OR DO NOT WANT TO PARTICIPATE?
  They will need to be attended to by you or a helper. We are not responsible for the behavior of the children. The Party Hostess is responsible for hosting your party and engaging the children in a constant activity. Good behavior is always promoted, but it’s your responsibility to monitor and take charge if a child is not behaving, becomes ill, or does not wish to participate.
 
20. IF THE WEATHER IS NICE, CAN I HAVE MY PARTY OUTDOORS?
  Due to the children wearing long gowns, and the food served, we do not allow outdoor parties at this time.
 
21. PARKING
  Please leave us some space to park in your driveway or in front of your home where we will not be blocked in. We would appreciate an easy access, as we have a lot of heavy items to carry into your party.
 
22. TRAVEL CHARGES
  The package prices are for areas that are within a 60 mile radius of Wooster, Ohio. Please be aware that a travel charge will be applied to those areas more than 60 miles. Mileage is determined with the help of Mapquest. We reserve the right to determine whether we can or can not travel to a location.
 
23. YOUR OBLIGATION
  (A) Provide a table for refreshments with appropriate seating for your number of guests, and a separate table or floor area for crafts
(B) Provide 2 electrical outlets for music/equipment and crafts in the party room
(C) Provide a safe and clean area for dress-up, activities, and eating.
(D) Remain with the party, we are not a babysitting service
(E) Provide a gathering place for parents of the guests who wish to stay (see #16)
(F) Provide a smoke-free environment
 
24. OOPS!
  Because accidents sometimes happen, we ask that no other types of food or beverage are served while the children are in the dress-up outfits. If you are planning to provide refreshments to the parents and siblings who stay, we ask your cooperation in making sure the children do not have access to that while dressed up.
 
25. PHOTOS
  Sugar and Spice Occasions ltd may use pictures from our parties for promotional purposes on our website, print ads or publications. Names of the children will never be printed with the photos.
 
26. ADDITIONAL POLICIES
  Sugar and Spice Occasions ltd and its employees assume no responsibility or liability for accidents or damages. Your Party Hostess will provide you with the most professional of services and will work to ensure that your home is treated like a “Royal Palace”. In the event of damage or loss of Sugar and Spice Occasions ltd inventory and/or damage or loss to the party’s location, the financial responsibility lies entirely on the client.
Sugar and Spice Occasions ltd or its employees are not responsible for allergic reactions or any other medical reaction stemming from the menu, wearing of costumes, or any activity taken place before, during and/or after the party. In the case of liability and/or financial remuneration due to the aforementioned, the responsibility lies strictly with the customer.
